North Perry Board Meeting Minutes

3/11/09

 Treasurer Report:  Checking Balance: $5743.12 Savings Balance: $3059.66

 1st Vice Presidents Report: Chris Connor (1st VP) will be organizing an All Star game/team this year for all strings.  News from Central Council:  Votes to change rules for any sport need to be proposed one month prior to sport beginning.  Rules will then be advised at the General Rules Meeting.  Proposals to change rules need to be submitted as follows: Football in July, Basketball in November, and Baseball in April.

 2nd Vice Presidents Report:  Not Present

 Registrar:  65 kids registered for Baseball.  10 Fundamental kids currently signed up.  “B” and “C” strings are currently at 10 kids and we are expecting more.  We need second coaches for Coach Pitch, T-7, and T-6.  If enough kids sign up for B and C, they may need additional coaches as well.

 Baseball Coordinator:  Monday, April 6th begins baseball practice. 

 Football Coordinator:  Kids will be purchasing jerseys again.

 Snack Shack Coordinator: Not Present

 Fundraiser Coordinator: Many fundraising opportunities available.  Chocolate Bars, Candy, Wrapping Paper, Candles, Scratch Cards (Scratch and Donate).  We are also hosting another comedy night on March 27 at the Clover Leaf Tavern. 

 Old Business:

 New Business:  

An Audit of the Treasurer’s Books needs to be completed before the May meeting. 

Spigot for the water main and plumbing under the sink in the snack shack has been replaced.

 A number of proposals for changing the by-laws have been proposed.  These changes will be voted on at the next meeting. 

 A new contract for scholarships will be drawn up committing scholarship recipients to at least 20 hours of volunteer service to be coordinated via Maria Troupe (secretary).

 Old Business: 

New uniforms/shirts for the football team(s) have been evaluated by Gary.

 Mound ordered for baseball and should arrive on 3/18/09.

 New Business: 

 May 4th is the General Rules Meeting.

 Nominations for Central Council positions are due in April.  North Perry will be nominating Ron Moore for the Second Vice Presidents Position.

 Request made by Don Bratcher for ideas on the responsibilities of the Second VP.

Treasurer Report:  Checking Balance $6,589.21  Savings $3057.40  Snack Shack Balance: $0.00.

 

Fundraising: $0.00

 

1st Vice Presidents Report:  Cost for referees unknown at this point.  3 officials will be at each game.  Emphasis that every team has a game day manager.  Undershirts must match team colors.  Scorekeepers must not cheer for the team.  Master Rosters are due December 29.  January 7th there will be a general rules meeting after the central council meeting.  

 

2nd Vice Presidents Report:   Not Present

 

Registrar:  67 Basketball registrations. 

 

Snack Shack Coordinator:  Not present

 

Football Coordinator:  N/A

 

Basketball Coordinator:  Uniforms will cost $1800.  Vender will be sending 4 different sizes to view before order is placed. 

 

Fundraiser Coordinator:  Planning on contacting football parents to facilitate tree recycling.

 

Old Business:  Contract for gyms has been sent by the school district.  Contract terms are acceptable: $781 for the big gym $140 for the small gym. 

 

New Business:  Possibly order t-shirts for sports in warmer seasons.  Landing at the lock up has been replaced.

Treasurer Report:  Checking Balance $6038.16 Savings $3054.46 Snack Shack $200.00. 

 

1st Vice Presidents Report:  September 3rd General Rules Meeting at Central Council.   Jamboree is going to happen on 9/6/08.  Next council meeting we will need to present our club rules.  Master Football roster due on 9/18/08 and there will be a preseason coaches meeting on 8/18/08 at 8:00pm.  A string will be playing inter league games with Gig Harbor .

 

2nd Vice Presidents Report: Not present.

 

Registrar:  Current count for football registration all strings is 69.

 

Football Coordinator:  We will need to get more gear – mouthpieces and footballs.  Flag football registration is lacking.  Propose reduce fee to $30. 

 

Snack Shack Coordinator: Not Present

 

Old Business: 

Fundraiser coordinator proposed as Rhiannon Stewart.  Rhiannon is present and has accepted our nomination.   Rhiannon Stewart is voted in by the board as the Fundraiser coordinator for North Perry.  We will need to have Brian and Rhiannon discuss the process for accepting donations.

 

New Business: 

Reduce Flag football to a fee of $30 per child.  Voted and approved by the board.

Open snack shack during practices – to be coordinated by Maria Troupe when Jasmine is not present.

Treasurer Report:  Checking Balance $2294.41 Savings $3053.68.  Snack Shack Balance: $200.00.  A request for football costs approved. Estimate is $2000.

 

1st Vice Presidents Report:  Master Roster due for Football at the August council meeting.  Central Council general rules meeting moved to September.  There will be no Jamboree this year.  An additional game will be scheduled instead.  Jack, the president from Chico is the Baseball commissioner.  There will be a 7 year old child playing down to flag on the South Kitsap team due to medical reasons.  Conditioning for football begins August 4th.  Conditioning entails the kids will not be wearing helmets but can be in pads.  Coaches meeting will be held in August – no date set at this time.  Kids must make 5 practices before they can hit/participate in contact.

 

2nd Vice Presidents Report:  Working to finalize the gyms for basketball. 

 

Registrar:  16 kids registered for football.  1 child needs approval from Central council to play up to Flag.

 

Snack Shack Coordinator:  Not Present

 

Old Business: 

Gary Gribbon has taken the inventory of football gear.  Additional items needed estimated at $2000 – approved by board. 

 

Design has begun on new NP neighborhood signs.  Signs will include new NP website.

 

New Business: 

Should we establish a pricing discount to encourage early registration for all sports?  Or a penalty for late registration?

 

The board has been advised by Gary Gribbon that Rhiannon Stewart is interested in being the Fundraiser Coordinator.  Maria Troupe to contact Rhiannon to invite to next meeting.

 

Schedule a date/time to facilitate repairs to home field in preparation for football.  Bench on Chris Gordon field is broken.  Needs new wooden slats to repair.

 

Pitching Mound needed for 2009 baseball season.

 

Are we able to lock the dumpster between events at the field?  Kim and Maria to coordinate possible schedule to lock/unlock the dumpster on pick up days.

 

Access to NP website needed for NP board member(s).

Treasurer Report:  Checking Balance $1961.26 Savings $3052.16.  Dissolution laws will be added to our by laws.  Read, voted and passed.  Contact person for IRS is Bryan Whitlock address 311 Naval Avenue, Bremerton .

 

1st Vice Presidents Report:  Baseball - D String and up will be pitching from a mound, we will need to buy a portable mound.  There will be a mandatory Registrar meeting June 4th.

 

2nd Vice Presidents Report: Pictures will be May 30th at 5:00pm at Ostrander Field.  We are being charged for the school field.  Gym cost may increase so registration to go up.

 

Registrar:  We have received the list of all volunteers who signed up to help on the registration forms.  June 1st football registration to start.

 

Baseball Coordinator:  Need to get state law signs for no smoking.  T-7 to play Silverdale team.  Chris to hold tournament at NP field.

 

Snack Shack Coordinator: Raised $947 – deposited $533.  Fundraiser Ideas – Bake Sale , Blue Jacket Tickets, Popeye Take Over available, received donations from teams, Cloverleaf Comedy Night?

 

Old Minutes: 

McTakeover June 4th.  Volunteers Needed.  40% of all income to North Perry.

Remove Ron Moore from NP Website contact list.

 

Gary Gribbon volunteered for Football Coordinator.  Anticipating more kids to sign up this year for football.  Gary to take inventory of football supplies and will supply list of needs to the board by next meeting.  Possibility of ordering newer and better jerseys.

 

Registration signs need to be replaced with new NP website address included.

 

Baseball – many teams are having children play up to levels beyond their skill level.  Concern that children will get hurt and there will be a lack of competition for our teams and a lack of registration for next year.  Possible solutions – Petitions to combine all teams into one Pee Wee association.  Take NP to Little League or Pony League or UUA.

1st vice- May 7th central council general rules meeting. If you have any questions you must go to central council meeting. Coaches meeting Tuesday 15th, Jamboree is April 19th, First game is April 26, Championship games are June 21st.

2nd vice- Fields available after 5:30pm. Pictures are being decided on. Baseball coordinator- Fence is in and new chaulk machine. Hats being picked up by Chris Conner.

Old buisness- New snack shack coordinator is Jazmine .......THANK YOU.

New buisness- Mctake over June 4th MCDONALD COUPON BOOKS NEED TO BE SOLD. Coach Perryman wrote a letter asking for a kid to be added to his team of 12. We will be updating the by laws soon.
